Case study · Anonymised client

A tailor-made patient portal and booking system for a group of clinics.

A group with several sites ran its diary over the phone and piled up empty slots and no-shows. We built online booking and a patient portal wired into their operation.

Problem

The diary lived on the phone

Reception spent the day taking calls to book and move appointments. No-shows left gaps nobody managed to refill, each site followed its own rules, and management had no real picture of occupancy.

Solution

Book, remind and measure without calls

We published an online diary per site, practitioner and visit type, with duration and overlap rules specific to each speciality. Patients book, reschedule and review their appointments and documents from their portal, and get automatic reminders before the visit.

What it includes

What we delivered, live from day one

  • Online diary per site and practitioner
  • Duration, overlap and gap rules
  • Patient portal with appointments and documents
  • Automatic reminders and confirmation
  • Self-service rescheduling and cancellation
  • Occupancy and no-show dashboard per site
  • Role-based access (reception, practitioner, management)
  • Consents and documentation with traceability

Result

Fuller diaries, reception set free

No-shows drop with reminders, gaps refill themselves through the portal, and reception looks after the person in front of them instead of the phone. Management compares occupancy across sites on the same terms.
